NavCo Solutions ("we", "us") provides mobile notary and related administrative services in the Houston area. This policy explains how we handle personal information collected through navcosolutions.com and our business operations.
1. Information we collect
Depending on how you use our services, we may collect:
- Identity and contact data: name, email, phone, address / signing location.
- Appointment details: service type, preferred date/time, notes you provide.
- Documents and signatures: PDFs you upload or that we prepare, electronic signature images, and audit metadata (IP address, user agent, timestamps, document hashes).
- Technical data: basic server logs, security rate-limit signals, and essential preference cookies (language/theme).
2. How we use information
We use personal information to schedule and deliver notary services, communicate about appointments, send electronic signature invitations, maintain business records, generate invoices/receipts, improve security (fraud/spam prevention), and comply with law. We do not sell personal information.
3. Legal bases and U.S. state privacy (including CCPA-style rights)
We process information as needed to provide requested services, operate our business, and meet legal obligations. If you are a California resident (or a resident of another U.S. state with similar privacy laws), you may have rights to know, access, correct, delete, or opt out of certain sharing. 4. GDPR / international visitors
We primarily serve clients in Texas, USA. If you access the site from the EEA/UK, your data may be processed in the United States by us and our processors (hosting, email, database). By submitting a booking or signing a document, you request that we process your data for that purpose. Contact us to exercise access, rectification, erasure, restriction, or objection rights where applicable.
5. Processors and sharing
We use service providers under contract, including website hosting, database/auth (Supabase), transactional email (Resend), and domain/DNS providers. We share information only as needed to operate the service, complete a transaction you request, or when required by law. We do not grant public anonymous write access to CRM data.
6. Retention
Appointment, client, and signed-document records are retained as long as reasonably needed for service delivery, legal compliance, dispute resolution, and notary/business recordkeeping (often several years). You may request deletion; we may retain limited information when law or legitimate business needs require it (e.g., signed contract evidence).
7. Security
We apply technical and organizational measures including HTTPS, authentication for the owner dashboard, private document storage, server-side validation, rate limiting, and security headers. No method of transmission or storage is 100% secure.
